Retreat Terms & Conditions
These terms help ensure RiverSong retreats run smoothly and create a safe, supportive environment for everyone attending.
Booking & Payment
To secure your place on a RiverSong retreat, a deposit of 30% of the total retreat price is required at the time of booking. This deposit confirms and reserves your space and is therefore non-refundable.
Your booking is confirmed once the deposit has been received.
The remaining balance is due 30 days prior to the retreat start date.
If booking within 30 days of the retreat, full payment is required at the time of booking.
If the remaining balance is not received by the due date, RiverSong reserves the right to release the space and retain the deposit.
Payments are made via bank transfer. Please include your name and the month of your retreat as the payment reference.
Cancellation Policy
If you need to cancel your booking, the following terms apply:
More than 30 days before the retreat
Any payments made beyond the non-refundable 30% deposit will be refunded in full.
14–30 days before the retreat
50% of the total retreat fee will be refunded. The remaining 50% will be retained by RiverSong.
Within 14 days of the retreat
No refund will be given unless the cancelled space is filled by another participant.
If the cancelled space is filled by another participant, a refund may be issued minus the non-refundable deposit.
At RiverSong’s discretion, the refundable portion may instead be transferred as credit toward a future retreat.
Credit must be used within 6 months and is subject to retreat availability.
Participants are welcome to transfer their booking to another person if they are unable to attend, with prior notice to RiverSong.
All cancellation requests must be made in writing via email.
If RiverSong needs to cancel a retreat due to unforeseen circumstances, all payments will be refunded in full. RiverSong is not responsible for any additional costs incurred by participants, such as travel expenses.
Dietary Requirements
RiverSong provides nourishing vegan and vegetarian meals as part of the retreat experience.
Please advise us of any dietary requirements, allergies, or food intolerances at least 14 days prior to the retreat start date so we can plan menus accordingly.
Dietary requests made within 14 days of the retreat may not be able to be accommodated.
While we do our best to accommodate dietary needs, RiverSong cannot guarantee an allergen-free kitchen environment. Participants with severe allergies or medical dietary conditions should contact us prior to booking to discuss suitability.
Health & Participation
Participants are responsible for ensuring they are physically and mentally fit to attend the retreat.
By attending, you confirm that:
• You have disclosed any relevant injuries, medical conditions, or health concerns prior to the retreat.
• You will take full responsibility for your own wellbeing during all activities.
• You will listen to your body and modify or opt out of practices as needed.
• You will consult a healthcare professional before attending if you are unsure about your suitability for movement, breathwork, sauna use, cold water immersion, or other retreat activities.
Participants accept full responsibility for their own safety when using the river, sauna, or other retreat facilities.
All yoga, meditation, breathwork, and movement practices are undertaken at your own risk.
RiverSong, its facilitators, and hosts accept no liability for injury, illness, loss, or damage incurred during the retreat.
Code of Conduct
RiverSong retreats are designed to be safe, respectful, and supportive spaces.
By attending, you agree to:
• Treat fellow participants, facilitators, and the property with respect.
• Maintain confidentiality regarding personal stories or experiences shared within the group.
• Follow safety guidance provided during movement, sauna use, and river activities.
• Respect shared spaces and accommodation.
• Respect quiet hours and the restorative nature of the retreat environment.
RiverSong reserves the right to remove any participant whose behaviour is disruptive, unsafe, or inconsistent with the wellbeing of the group. In such cases, no refund will be given.
Media & Photography
From time to time, photos and short videos may be taken during retreats for use on the RiverSong website, social media, and promotional materials. This includes use in future promotional material.
By attending the retreat, you consent to being included in such media.
If you would prefer not to appear in any photography or video content, please notify RiverSong in writing prior to the retreat and we will respectfully honour your request.
Force Majeure
RiverSong is not liable for cancellation, delay, or changes caused by events beyond our control, including but not limited to extreme weather, natural disasters, government restrictions, or other unforeseen circumstances.
In such cases, participants may be offered a transfer to a future retreat or a refund at RiverSong’s discretion.
